"Who's Sending Me Money Now?"
By Ralph Moore (c)2004

Have you ever received a payment from a buyer without any
reference to the item that they're buying? I know I have.

If you often sell small items online or on eBay, or at any
of the multitude of other auction web sites, sonner or later
you may run into this problem.

Someone sends you a check or money order and forgets to
refer to the item he or she is purchasing. If you are only
selling one widget for $19.95, that won't be a problem.

But what if you have thiry different items that all sell
for $19.95?

Or what if the buyer makes a mistake and sends you a check
for something he was buying from another merchant? It can
and does happen.

Remember Murphy's Law? In my experience, it is only a matter
of time before the "impossible" comes to pass. It is better
to "be prepared" and eliminate as many problems as possible
before they occur.

Here is a simple way to eliminate this particular problem
and control your sales from start to finish.

Whenever possible, always include a specific reference
number to the item, even if you have to create your own.

I have a piece of software that I use that has a random
number generator built in. The software is Password Keeper
by Gregory Braun at: http://www.gregorybraun.com/

You can also find random number generators at any one of
the many no-cost software sites online.

If you use one of these number generators, it is unlikely
that any two of the numbers will ever be the same.

Or you can simply invent your own number, as long as it
is different from any other numbers that you are using
for your other sales.

One way to do this is to use a code such as the first few
letters of the item name coupled with the date and perhaps
the number of the sale for that date.

For example, let's say you are selling a garden rake on
December 3rd, 2004 and it's your third item listed for
sale on that day.

You might create the alpha-numeric specific item code
of 41203GR03. That works out to: 4 (the year), 12 (month),
03 (date), GR (Garden Rake) and 03 (third item listed
for sale on that date.

Now when you include your address for payment, you can
add the item code like this:

Ralph Moore
41203GR03
8615 Rahke Road
Indianapolis, IN 46217

As long as the customer includes this information with their
check or money order, your order fulfillment will be a lot
easier and more accurate.

The problem with this system is that many web sites, like
eBay, automatically include your main address with each
item sold. The buyer will never see this specific item
code as part of the payment address and may forget to
reference the item with their check.

So just how do you get your buyers to include this vital
piece of info with their payment?

Well, the easiest way is to simply state that in order to
be sure that you are able to properly credit their funds
and ship the item, they MUST include the item code with
their check. For most people, that is enough.

But there is a better way. Some people will forget to
include the code unless there is an added incentive for
them to do so.

Turn your "item code" into a "Bonus Code" and include a
no-cost bonus with their purchase.

Simply state in your offer that in order to complete the
sale and "qualify" for their bonus item, they must include
the "Bonus Code 41203GR03" with their check.

Now your customer will have an good reason to let you know
just what it is that they have purchased from you.

By paying close attention to details in every aspect of
your business, and by following a simple system like this,
you will always know the answer to the question.....

Little Johnny was flunking math. His desperate parents
tried everything from flash cards to tutors. Finally,
they enrolled him in the local Catholic School.

After the first day, Johnny comes home with a serious look
on his face, goes straight to his room and starts studying.

Night after night the amazed parents look on as Johnny hits

After several weeks, Johnny brings his report card home. He
lays it on the table and marches to his room to study again.

His mother looks at the report card, and to her surprise,
Johnny got an A in math. She goes to his room and asks...

"Well Johnny, what was it? Was it the nuns?" Little Johnny
looks at her and shakes his head. "Well, then," she replies,
"was it the books, the discipline... WHAT was it?!"

Johnny looks at her and says, "Well, on the first day of
school, when I saw that guy nailed to the plus sign, I knew
they weren't fooling around."

"Is You Email Really Safe?"
By Ralph Moore (c)2004

Have you ever wondered just how safe your email is?

If you think for one moment that no one is ever likely
to see the email that you send, you might just be in for
a rude awakening!

When you send business or personal email, the message is
normally not encrypted or hidden in any way. It is sent
in what is known as "plain text" mode.

Except for the few times that I have experimented with a
variety of encryption techniques, I have never bothered
to send encrypted email. And I have only received a very
few encrypted emails over my many years online.

It's surprising, isn't it? You would think that after all
of these years of improvements in technology, there would
be an easy way to make sure that your email messages are
safe from "prying eyes".

The problem is that if you send an encrypted email to
someone, they will have to be able to decrypt the message
in order to read it. And for the average person, it's
just too much bother.

Until a major software company like Microsoft decides to
solve this problem by making email encryption "transparent",
(working automatically in the background), it is likely
that your email will be "open to the public".

The way it stands right now, regular email is sent in much
the same way as a post card is sent through the U.S. postal
system.

Your messages will most likely pass through and be stored
on a number of systems before they arrive at their final
destination.

Anyone who comes in contact with your email, whether in the
course of their job, by having access to your hard drive,
or by simply intercepting the stream of information as it
traverses the Internet, will be able to read your mail.

Look at the way email works, and you'll begin to see why
it might be less secure than you had thought.

1) You start by writing an email using Outlook, Eudora or
another email "client program". The program stores the
message as part of a text file in a temporary folder on
your hard drive or in the program folder.

Anyone with access to your computer can read your email.

2) When you click "send", your email is sent to the SMTP
email server at your Internet service provider's location.
From there, the email is sent to other mail servers on
the net, until it finally reaches the intended recipient.

Due to the fear of litigation, it is now a common practice
at many ISP's to permanently archive ALL email.

Anyone (with access priveleges) along the way could read
your email.

3) Again, due to the increasing possibility of a law suit,
many employers are keeping a permanent record of all email
messages and examining them regularly for inappropriate
behavior by their employees.

In the case of business email, you should expect that your
email WILL be read.

4) While your email is traveling across the Internet, it
is very possible that a "cracker" could use freely available
"packet sniffer" software to intercept and read your email.

5) If you type in the wrong email address or if an SMTP
server sends your mail to the wrong machine, a complete
stranger may be reading your private email.

6) Whomever you send your email to will have a copy of the
message stored on their hard drive until they delete it.

Just like a post card, email can be a fast and effective
way to share information. But the next time you decide to
send sensitive information in an email, remember, there
is a good possibility that you might just be sharing your
secrets with the world.

[Ideas to inspire better communication]

Jack was using his magnifying glass to examine an angle of
15 and 3/4 degrees. If the glass magnifies everything two
times, (2x) what would the angle be without the glass?

(Answer(s) in the next issue of the Flyer)

***
Answer to Last Issue's Puzzler...

[A grandfather clock chimes a number of times to indicate
the hour, as well as chiming once every quarter hour.

If you are blindfolded and hear the clock chime only once,
what would be the longest period of time you would have to
wait in order to be sure of the correct time?]

You would have to wait 90 minutes between 12:15 and 1:45.
Once you hear seven single chimes, you know that the next
chime will be two chimes at 2 o'clock.
